Team Assistant (m/f/d)

Global Medical Education 





  • You support the team in administrative, coordinating and organisational tasks, but also for specific key strategic education projects such as MEXS, the Innovation Forum, the Mentor-Mentee Program or Advisory Board Meetings

  • You schedule and coordinate meetings (live and virtual) with internal colleagues, but also external collaboration partners, agencies and / or KOLs and generate and maintain mailing lists

  • You coordinate approval processes (Veeva Vault) and obtain signatures for contracts and support in drafting contracts until finalization in close collaboration with the team, legal and compliance (Adobe eSigning)

  • You are responsible for a self-driven organisation of all consecutive correspondence incl. documentation, maintenance and creation of Excel sheets and PowerPoint presentations in English

  • You manage the archiving and documentation of relevant documents and materials e.g. contracts (Bflow) and the creation of vendor accounts in ARIBA, as well as performing orders and travel expense accounting via Concur

  • You are responsible for the budget and invoice tracking and account reconciliation with the Global Medical Education team as well as for the Sunhine Act reporting for relevant countries, in close collaboration with the team and compliance

  • You manage the entering of thought leader activities into SteepRock

  • You take ownership of maintaining the documentation list about the storage of personal-related data and ensure that the removal of this data will be done based on given timelines in close alignment and exchange with the data protection officer 

  • You document, track and organize internal trainings in line with CP and SOPs and evaluate SOPs concerning relevance for team members 


  • You are the appointed person within the department for health and safety, incl. office evacuation, first aid and archive officer




  • You have accomplished a commercial training, or an education of an office manager

  • You have 3+ years proven professional experiences in the pharmaceutical industry / international environment

  • You have project related work experience and experiences in working with international and cross-functional teams

  • You are fluent in business English and have excellent customer service, interpersonal and communication skills - German or other languages are beneficial 

  • You have preferably experiences with ARIBA, Concur, Bflow, Veeva Vault and SAP and additional IT skills (e.g. MS Office Suite and SAP)

  • You are a team player with a friendly, outgoing and confident personality

  • You provide impeccable organisation and problem solving skills and you have the ability to prioritise workload and work to deadlines with a can-do attitude
